This article covers:
Use Copy document to create a new document using the properties of an existing document as a starting point. Review the copied properties, give the new document a name, and upload its file to begin a separate approval workflow.
The new document has its own ID, workflow, and history. The original document remains unchanged.
Before you begin
- Open the document you want to copy.
- Have the file for the new document ready to upload. Copy document does not copy the original file.
Note: Copy document is available at this time only for documents, not claims.
Create the copy
- Open the original document in the Viewer.
- Click More Actions, then click Select on the Copy document card.
- In the Workflow dropdown, select the workflow for the new document. Only workflows that support the original document's type are available.
- Enter a Document name for the new document. This field is not copied over and is required.
- Review the copied document properties and update any values as needed. Complete any other required fields. The document type stays the same as the original and cannot be changed here. To choose a different workflow, click Change workflow and make another selection. Review the form again before saving.
- Click Save & Generate ID. Vodori creates the new document and opens it in the Viewer, ready for a file upload.
- Upload the file for the new document. Complete the remaining preparation steps for the selected workflow, including any required details, supporting materials, and assignee selections. For guidance, see Submit a document for review.
To leave without creating a document, click Close before clicking Save & Generate ID. Reopening the Copy document starts a new attempt; unsaved entries are not retained.
What is copied?
Vodori copies the original document's configured properties, except for the items listed below. Editable properties shown in the form are prefilled so you can review and change them. Your changes are saved to the new document only.
What is not copied?
The following are not carried over from the original document:
- Document name and ID
- File and attachments, including the original filename
- Effective and expiration dates
- Workflow fields, progress, tasks, collaborators, and reviewers
- Annotations, supporting documents, comments, and history
The copy is an independent document. It is not a new version of the original and does not create a parent–child relationship. To create a linked translation or localized document, see Create or update a child document.
Troubleshooting
The workflow does not load.
If Unable to load workflow appears, click Retry or select a different workflow.
I cannot save the copy.
Check that Document name and all other required fields are complete, then correct any validation messages. Vodori checks your permissions and the workflow's availability again when you save. If either has changed since you opened the window, follow the error message or contact your administrator.
An error appears when I save.
The Copy document window stays open and retains your entered values. Follow the message, then try Save & Generate ID again. If the problem continues, contact your support team with the error message.
