Vodori
The system of record for regulated content review in life sciences, designed to support compliant, auditable review processes without replacing human judgment.
Tenant
A logically isolated Vodori environment representing a single customer organization. Each tenant has its own users, configurations, data, and workflows.
App
A distinct Vodori application that provides a defined set of functionality, user experiences, and access boundaries within the Vodori system. Apps segment capabilities by purpose and determine which personas, permissions, and license types apply to a user.
Vodori includes the following apps:
Core Platform: Used to upload, review, and approve claims, promotional content, and medical content.
Admin Console: Used to manage user access to Vodori, including inviting users, assigning permissions, updating access, and deactivating users.
Portals: Used by users to retrieve content approved through the Core Platform.
Job
A single instance of content going through a review workflow in Vodori. A job includes the content, metadata, reviewers, comments, tasks, votes, certifications, and an audit trail.
Workflow
The configured path a job follows from preparation through review and final outcome. Workflows reflect a customer’s SOPs and routing rules.
Submission
A collection of approved promotional materials and supporting documents that are prepared and tracked together for submission to the FDA. Vodori may act as the system of record for an FDA filing, ensuring only eligible, approved content is included and tracking the submission through its lifecycle. It links content approval and effective dating to FDA submission status, providing clear traceability and control from submission through dissemination.
People, Roles & Access
Initiator
The user who starts a job in Vodori. The initiator may or may not be the content owner or coordinator.
Content Owner
The person accountable for the content within a job. The content owner ensures feedback is addressed and that the content is ready for submission and approval.
Coordinator
The user responsible for managing the review process for a job. Coordinators start jobs, assign reviewers and assignee groups, manage tasks, and monitor progress.
Collaborator
A user who contributes to a job but is not a formal reviewer. Collaborators may upload content, address feedback, or complete tasks.
Reviewer (Assignee)
A user assigned to evaluate content within a job. Reviewers provide annotations, comments, and votes.
Persona
A system-defined classification that represents a user’s role and permitted usage within a specific Vodori app. Personas determine the functional access and capabilities available to a user within that app.
Each Vodori app supports a predefined set of personas:
Core Platform app: Member, Reader, Agency User
Admin app: Administrator
Portals app: Member
Every persona must be explicitly mapped to a Vodori license type, which controls entitlement, access enforcement, and eligibility across the system.
Review, Tasks & Feedback
Task
A discrete action assigned to a user or group within a job, such as addressing feedback, uploading revised content, or completing a required step.
Annotation
A comment or mark left directly on the content to provide specific, contextual feedback.
Vote
A reviewer’s formal decision on a job, recorded as part of the audit trail.
Amend and Resubmit
A vote indicating that changes are required and the content must be updated and resubmitted for another round of review.
Amend and Return
A vote indicating that changes are required, but the job returns to the coordinator or content owner without automatically progressing to another review cycle.
Incorporating Feedback
The job state where authors, collaborators, or content owners address reviewer comments and complete required tasks before resubmitting content.
Content, References & Substantiation
Supporting Material
A supporting document that is either related to another document or uploaded to a job.
Substantiation
The evidence used to support claims within content. A linked Reference or Claim in Vodori appears as Substantiation.
Claim
A statement within content that requires substantiation or regulatory review, such as a clinical, safety, or efficacy assertion. In Vodori, when using the Claims module, a claim is an object that can be defined once and reused across multiple pieces of content, linked to supporting references, and reviewed independently of the content in which it appears.
Reference Point
A specific location within content (text, image, table, or visual element) where a claim or statement is made.
Reference Link
The connection between a reference point in the content and the supporting document that substantiates it.
Parent–Child Relationship
A hierarchical relationship between jobs or content, where a parent item serves as the source for one or more child items (for example, a global asset with localized derivatives).
Library
The area where content, supporting documents, and references are stored and reused across jobs.
Navigation & User Interface
More Actions
A menu within Vodori that contains additional options related to a job, task, or item (for example: cancel job, download reports, or manage assignees).
Account Menu
The user menu accessed from the top navigation, where users can switch personas (apps), manage personal settings, manage delegations, or log out.
Public URL
A secure, shareable link that allows access to content outside of Vodori without requiring the recipient to log in. Public URLs are typically used for external reviewers or agencies.
Web Annotation
A method of leaving comments or feedback directly on web-based content (such as live URLs) rather than static files, enabling in-context review of digital assets.
Jobs Board
A view in Vodori that allows users to see, track, and manage jobs, including who is reviewing what and where each job sits in the review process. Jobs are displayed in a kanban-style board, with cards automatically progressing through columns as they move through the various lifecycle stages.
Compliance, Signoff & Traceability
Certification
A structured Certification task in Vodori that requires a user to formally attest to specific criteria (for example: accuracy, completeness, or compliance) as part of a job. Completion of a certification task records the certifying user, date/time, and attestation details, and generates a Certification Report that becomes part of the job’s electronic record and audit trail.
Electronic Signature
A secure, compliant method for users to sign off on actions or decisions within Vodori, such as approvals or certifications. The action of an authenticated user entering a PIN in conjunction with casting a vote is considered a user’s electronic signature in Vodori.
Electronic Record
Any content, metadata, decision, or action stored within Vodori as part of a job. Electronic records are retained for regulatory compliance and inspection readiness.
Audit Trail
A complete, immutable record of all actions taken on a job, including submissions, tasks, annotations, votes, certifications, and signatures.
Job Summary Report
A downloadable report capturing the full review history, comments, votes, certifications, and electronic signatures for a job.
PIN
A personal identification number (PIN) is set and managed by a user who performs electronic signatures in Vodori. It is entered upon casting a vote and represents the user’s second electronic signature component. (The first component is their authentication via SSO or a password+MFA).
