Vote reason and Additional comments are designed to provide more clarity around review votes, especially when content is not approved on the first circulation.
When a reviewer casts a vote in a review task, and does not vote “Approve”, they are prompted to select a “vote reason” from a pre-configured list determined by your organization. They can also optionally leave additional comments explaining their vote. This helps:
- Initiators and content owners better understand why content needs to be revised.
- Teams to speed up the feedback loop and reduce unnecessary rework.
- Track trends on why content gets held up in review (hello, metrics!).
There are 2 fields for this: Vote reason and Additional comments. You can see either one or both, based on your organization’s configurations.
Vote reason is required by default if enabled. If the reviewer chooses to vote Reject, Amend and Resubmit, Amend and Return, or Amend and Progress they will be prompted to select all applicable vote reasons from the list, provided by your organization.
When “Additional comments” is enabled, it is always optional. This is where reviewers can leave any additional comments, providing more context for the vote rational.
Once all reviewers have cast their vote, if the final vote outcome included a vote reason, the progress bar will include a hyperlink to show you who chose what vote option and reason.
The vote reason is also included in the audit trail.
Since this is opt-in and configurable, it won’t be on unless your System administrator has this enabled. If you’re thinking about turning it on, please reach out to our support team.
