Administrators can view license counts in the Admin Console to support efficient oversight and planning.
Definitions
Organization is a company that has purchased a subscription to use Vodori’s software.
Tenants are named customer instances routed to specified apps and release versions within an environment.
The consolidated platform is comprised of apps:

Core Platform is where claims and all content is uploaded, reviewed, and approved. |

| Portals are where users retrieve content approved through the Core Platform. This app may not be in an organization’s subscription. |
Personas drive access to an app within a tenant with specific permissions.
How Licenses are Counted
Licenses are tracked at the organization level and allocated and enforced at the app level. Users count as licensed seats only while their account is active. Personas align 1-for-1 to license types, except for the 'Analytics Dashboard' license type. This license is occupied when a user is in the analytics dashboard permissions group.
Illustrated as follows:
Users with access to multiple apps require a license in each app. For example, the system owner who needs access to Core Platform and Admin Console will count as 2 licensed seats, 1 against each app allocation.
Users who need access to multiple tenants within the same app will be counted as a single licensed seat. For example, a key stakeholder who needs access to both sandbox and production tenants of the Core platform will count as 1 licensed seat.
A user with access to 1 of the tenants within an app is counted as using a licensed seat. For example, a software quality analyst who has access to the Core platform sandbox to perform periodic validation testing will count as 1 licensed seat.
View License Allocations
To view current allocations and seats in use:
- Click the profile icon in the top right corner
- Select the A icon persona under “Other Personas”
Administrators can adjust their organization's current license allocations by deactivating users or updating a user's assigned personas. For example, to change a user from Standard to Read-Only, remove their Member persona and add a Reader persona. If you need more licenses, contact your CSM or email csm@vodori.com.
Understanding Licenses in Use
If your organization allocates licenses by business unit, country/region, or another internal segment, you can use the Users list to understand and monitor how licenses are being used. To do this:
- Navigate to the Users tab
- Click the Filters button
- Apply Filters by Group, Status, and/or License Type
- Scroll to the bottom of the page to see the total count of users
Alternatively, you can download the user list as a CSV file, open it in a spreadsheet tool such as Microsoft Excel, and apply filters there.
- Note: The Users export includes 1 row for each of the user's personas.
If the available filters are not sufficient for your organization’s license monitoring needs, Profile Attributes can be implemented as a configuration change to provide additional segmentation.
