In the event there are organizational changes or a shift of roles within your team, Vodori allows users with appropriate permissions to update the Content Owners for multiple documents simultaneously, directly from the library. This action will assign the Content Owner field to a new user who will then be responsible for managing the content throughout its lifecycle, including monitoring its expiration date. This action does not generate any notifications to users and cannot be undone.
- Navigate to the document library
- Select relevant filters to narrow down your results. For example:
- If you’d like to transfer all documents from User A to User B, filter by Content Owner: User A. Note that users who are deactivated are automatically sorted to the bottom of this list.
- If you’d like to transfer all documents related to a particular product to a new Content Owner, filter by the relevant product.
- Select the documents you’d like to update by hovering over the card or row and clicking the unfilled circle
- You may select 1 or multiple
- You may choose “Select all on the page”
- Note: If your results span multiple pages, you will have to repeat steps 2 and 3 and perform this action multiple times
- Select “Change properties”
- Note: this option is only available for users with appropriate permissions
- Toggle on “Content Owner”
- Note: this field must be configured as an allowable field to update in order to display. Please consult your Vodori system owner if it is not visible.
- Select the new Content Owner
- Enter a reason for change. This will be recorded in the document’s audit trail.
- Click “Confirm”
- Once submitted, choose to download a CSV of all the updated documents and/or refresh the page
