With the release of R31 (July 2026), we are introducing several key visual and terminology updates to the Viewer interface. These changes are designed to provide better context around the content you are reviewing, streamline your active workflows, and bring more consistency to the terminology used across the application.
Here is a breakdown of what is changing and where you can find it.
Enhanced Library Fidelity
We have refreshed the Library experience so you can locate and identify materials more efficiently:
All Active Versions in Search: The Library now display all active versions of a document as a separate Library card, reducing the need to click into individual records to find a specific version.
Upgraded Library Cards: At a glance, Library cards will now explicitly illustrate if a document or claim is currently in an active workflow, as well as whether or not it is the latest version (dark blue dot).

Viewer
The header within the Viewer has been redesigned to surface critical document properties and omit mixing this information with workflow details.
When you open a document, you will now see, from left to right:
Document Name & Document ID: Placed in a vertical stack
Version: Now more prominently displayed in a pill shape with outline, separate from the document ID
A dark blue dot will appear next to the version when you are looking at the most up-to-date version of a document
State (formerly Document Status): In a prominent pill shape, filled

Importantly, workflow information such as the current step or final outcome of the most recent workflow has been moved to the Task Panel to improve clarity. See below.
Task Panel
When a document is not in an active workflow, the task panel is now hidden, making it easy to distinguish whether content is actively in a workflow or not. If a document is part of an active workflow, the task panel contains, from left to right:
Workflow Essentials: The workflow name and due date + new information: start date
Current Task Details: The active task name + new information: the circulation number.
Task descriptions that may contain the organization's configured specific instructions are now accessible via a quick hover action on the cornflower blue "i" icon.
Vote Selector & Assignment: Clear visibility into who is assigned the current task and a prominent link to "Edit/Reassign" assignees

Terminology Updates
We have refreshed terminology across various parts of the application. While the core functionality remains the same, these phrasing updates will make navigating your workflows more intuitive and consistent.
Specifically, you will notice the following terms have been updated throughout the UI, reports, and notifications:
Workflow: We have replaced the term "Job" with "Workflow" to better reflect the collaborative review process.
Task Board: What was previously known as the "Jobs Board" is now the "Task Board."
State: Any references to a document's "status" have been updated to "state."

| Jobs Board | Task Board | "Task" top level navigation element |
| Document Status & Job Status | State | Details screen field, Document details filter |

Additional End-of-Life States
To provide greater transparency into the exact status of your documents and claims, R31 introduces three new "end-of-life" lifecycle states. These new states help clarify why a piece of content is no longer active:
Withdrawn: Content will transition to this state if a Withdraw workflow is completed prior to its scheduled expiration date. It will automatically move to "Expired" once that date is reached.
Note: Today both user-driven and naturally-reached expirations are labeled "Expired"
Rejected: Content will transition to this state following a rejected vote outcome during review, approval, or pull distribution workflows.
Note: Today the "Rejected" label appears on the library card but is not a true state.
Canceled: Content will transition to this state if an active workflow is canceled.
Just like Expired content, these new end-of-life states are automatically hidden by default in the Library, keeping your view clear of inactive materials.
Enhanced Version History Menu
Understanding how content has evolved over time is critical, so we have significantly improved the Version History experience. Navigating document revisions is now much more intuitive.
Richer Version Metadata: The Version History interface now surfaces additional details about each document version, making it much easier to quickly identify specific historical revisions.
Consolidated Workflow Details: To reduce clutter in the main Viewer, workflow properties for completed workflows have been moved. Form the ellipsis menu, you can easily download the Workflow summary report (formerly Job summary report) for any circulation.
No Process Changes: While the menu looks better and provides more context, the existing versioning behavior remains exactly the same.
