Pepper Flow allows users to create relationships between content for review and other documents to support the review process. These relationships are created either as part of an annotation or more generally linked to the job, like an attachment.
Substantiation is considered a direct reference or claim used to substantiate your content. Supporting Materials are often content like journal articles or translation certificates that generally support the review and approval process of content.
Two ways to add substantiation and supporting materials
Substantiation and supporting materials can be added when preparing a job for review and during review. Supporting materials may also be added after a job is completed. Substantiation and supporting materials can be added in two ways:
- To an annotation - Use this option to add substantiation or supporting material to a specific area of the content in review. Substantiation or supporting material added in this way will appear under both the "Annotations" tab as well as the respective “Substantiation” or “Supporting Material” tab in the side panel.
- In the Substantiation or Supporting Material tab - Use this option when a substantiation or supporting material only relates to the content in review in general, not to a specific place on the promotional document. Substantiation and supporting material added in this way will appear only under the respective "Substantiation" or “Supporting Material” tab in the side panel.
Add substantiation and supporting material in an annotation
- Open the document being prepared for review in the Viewer.
- Add an annotation by using one of the annotation tools.
- As a best practice, use the highlighter tool to select text-based claims. If linking a reference, using the highlighter will improve the Auto Substantiate tool, which uses previously highlighted text to suggest substantiation on future documents.
- Click the link icon in the bottom left.
- From the dropdown, select whether you’d like to add a claim, reference, other material from the Library, link to a URL, or upload a file.
- Note: Claims management is an add-on feature and Claims may not be an available option for your organization. When adding a claim to a promotional document, any underlying references used to substantiate that claim will also be pulled through as substantiation on the promotional document.
- Reminder: Selecting Upload or URL will associate only those supporting materials to this job and will be unusable for other jobs.
Add general substantiation
- Open the document being prepared for review in the Viewer.
- Click "Substantiation" in the side panel.
- Click "Add substantiation”.
- A dropdown will open. Select whether you’d like to add a reference or claim.
- Note: Claims management is an add-on feature and Claims may not be an available option for your organization. When adding a claim to a promotional document, any underlying references used to substantiate that claim will also be pulled through as substantiation on the promotional document.
- You can also select Auto Substantiate to have Pepper Flow suggest references based on prior usage or claims from your approved claims library.
Add general supporting materials
- Open the document being prepared for review in the Viewer.
- Click "Supporting Material" in the side panel on the right.
- Click "Add supporting material”.
- A dropdown will open. Select whether you’d like to add a promotional document from the Library, link to a URL, or upload a file.
- Reminder: Selecting Upload or URL will associate only those supporting documents to this job and will be unusable for other jobs.

Added post job completion
If you add supporting documents after a job is complete, they will appear with a label of "Added post job completion."
Add a supporting material from the Library
- Select "Other material" in the add annotation dropdown (see above).
- The "Add supporting material" modal will open (see below)
- Select the checkbox next to the document you’d like to add. You can select several documents in draft, review, approved, or approved for use lifecycle states. Once you’re done, click "Add".
- Your selected documents will appear in the side panel and, if applicable, in the annotation.
Add a reference from the Library
- Select "Reference" in the add annotation dropdown (see above).
- The "Add references" modal will open (see below)
- Select the checkbox next to the reference or reference point you’d like to add. You can select several. Once you’re done, click "Add".
- Your selected references and reference points will appear in the side panel and, if applicable, in the annotation.
Add a claim from the Claims Library
- Select "Claim" in the add annotation dropdown (see above)
- The "Add claims" modal will open (see below).
- Select the checkbox next to the claim you’d like to add. You can select several. Once you’re done, click "Add". Note: only claims that are approved for use can be added to a document.
- Your selected claims and any underlying references used to substantiate those claims will appear in the side panel and, if applicable, in the annotation.
Tips for adding substantiation and supporting material
a. Search. You can search by name or ID. Press enter or click the search button to execute the search.
b. Filters. Each filter displays in a separate menu.
c. Applied filter tags. View currently applied filters. Each time you open one of the modals, your previous filter selections will be applied.
d. Sortable columns. By default, the list is sorted using your previous sort selection.
e. Referencedocuments. Select the checkbox next to the reference document name if you’d like to add a whole reference document as a supporting material.
f. Reference points. For references with reference points, open this accordion to see the available points and add them.
g. New reference point. If you don’t see the reference point you need, click this link to open the reference and add a new point.
Tips
- Upload reference documents into Pepper Flow by starting a job.
- You must set up a reference prior to adding a reference point to a document.
Upload a supporting material
- To upload a supporting material to the side panel or to an annotation, select "Upload" in the dropdown.
- Click "Select files".
- Add the files you want to upload from your computer.
- After you’ve added your files, you will see a table with the files listed. By default, the file name will be used, but is editable. Choose a name that will make sense to your reviewers, and add helpful descriptions when needed.
- Click "Add". Pepper Flow will upload all of your files.
- After all of your files have been uploaded, click "Close".
- Your uploaded materials will appear in the side panel and, if applicable, in the annotation.
Add a URL as a supporting material
- To add a URL as a supporting material in the side panel or to an annotation, select "URL" in the dropdown.
- In the modal, add a name and URL for each item you’d like to add.
- Click "Add".
- Your URLs will appear in the Annotations panel and, if applicable, in the annotation.
