Note: This article covers the process for adding a new user to Vodori as of our most recent update (R28+). If you are looking for information about this process for our legacy experience (R27), please refer to this article.
If you have the appropriate permissions, you will be able to view, edit, and invite users in the Admin Console.
From the Admin Console, select the Users navigation item in the left panel. All registered users within the organization will be displayed in a table, organized by first and last name. Additional columns include user type, status, time zone, and latest sign-in. You can sort the table by clicking the applicable column headers. Use the search and filter options at the top of the page to quickly locate specific users.
Clicking a user’s name opens the Details panel where you can manage a user’s settings, their personas, and view their account history. For customers on R29+, admins can export a list of users by clicking the 'Download CSV' button.
Invite Users
From the Users screen:
- Click the
button.
- In the “To” field, input 1 or more user’s email address(es)
- ❗ The users invited simultaneously must share the same permissions
- In the “Invite as” field, select the desired personas.
- ❗ Each user can have only 1 persona per app
After clicking the persona you wish to assign to the user, you’ll be directed to the Permissions screen to set the user’s specific permissions.
- Review the default permissions automatically populated for the selected persona.
- Add any additional permissions as needed.
- If the user was assigned multiple personas (e.g. Administrator and Member) navigate through each persona tab and repeat steps 1 and 2.
- Click “Invite
After clicking the persona you wish to assign to the user, you’ll be directed to the Permissions screen. From here:
- Review the default permissions automatically populated for the selected persona (if any) in the leftmost column.
- Add any additional permissions as needed by selecting the groups on the left and clicking the arrow button between the Available and Selected columns.
- If the user was assigned multiple personas (e.g. Administrator and Member) navigate through each persona tab and repeat steps 1 and 2.
- Click “Invite”
Clone Existing User
For customers on R29+, you can clone a user's permissions to a new user upon invite.
- Find the user with the permissions you wish to clone.
- Click the ellipsis icon and select "Clone user."
- Enter the new user's email address
- The cloned user's personas and permissions will automatically be selected.
- From there, you can modify the extended permissions as needed.
User Invitation Email
Once a user is invited, they will receive an invitation email from Vodori. The email subject line is "You’re invited to Vodori" and the sender is no-reply@vodori.com. The user must take action from this invitation email in order to login. A user in Invited status will be unable to use "Reset password" to generate a password reset email.
Clicking "Activate your account", the user will be prompted to enter their first name, last name, and if not using your organization's IdP, create a password.
Additionally, if not using your organization's IdP, the user will enroll in Vodori's Multi-Factor Authentication (MFA) by scanning the QR code in the authenticator app of their choice.
If a user needs to reset their MFA, please contact Vodori Support for assistance at support@vodori.com.
Revoke invitation
Admins can revoke a pending invitation while a user is still in Invited status by clicking the ellipsis icon to the right of the user’s name and selecting Revoke Invite.
For customers on R28, if a user has not received or cannot locate their invitation email, the admin should revoke the invite and then re-invite the user.
Revoking an invitation clears any personas and permissions assigned to the user. These must be re-selected upon inviting the user again.
Resend invitation
For customers on R29+, admins can resend invitation emails instead of revoking the current invitation.
To resend an invitation, locate the user’s name in the user table. Click the ellipsis icon next to their name, then select “Resend invitation email.”
